Front-desk teams do a lot of tasks that follow the same pattern every day. They are important but repetitive, and they compete with the patient standing in front of the desk. These five are among the lowest-risk to automate and a good place to start.
1. Appointment reminders
A short text or email before the visit, with an easy way to confirm or reschedule. Most missed appointments are simply forgotten, and a reminder gives you time to fill the slot.
2. Recall messages
Patients who are due for a check-up often put it off. An automatic, friendly message with a booking link brings many of them back without anyone searching the list by hand.
3. Digital intake forms
Sending forms before the first visit saves time at the desk and cuts errors from re-typing. Use a secure form, collect only what is needed and make sure the data flows into your practice system.
4. Review requests
After a visit, send a polite message with a direct link to your Google profile. Ask everyone, not only people you expect to be happy, and never offer rewards for positive reviews.
5. Text-back for missed calls
When a call goes unanswered, an automatic text offers a booking link while the person is still looking for a dentist. It is a simple way to rescue enquiries that would otherwise be lost.
Keep it safe
- Never include treatment details in messages.
- Get consent for texts and emails, and make it easy to opt out.
- Use providers that fit your obligations, such as HIPAA in the US or GDPR in Europe.
- Keep a person available for anything unusual or urgent.
Start with reminders, check the results for a few weeks and add the next one. For the full picture, read our guide to appointment booking and reminder automation.
